Great content starts with great planning. This checklist brings together the key steps for delivering photo and film shoots that run smoothly, stay on-brand, and produce engaging, high-quality results.

Think of this as a guide rather than a rulebook. These steps are designed to support smooth, effective shoots — use what’s most relevant to your project to achieve the best results.

  • Conduct a location recce (lighting, sound, access, power)
  • Confirm permissions, permits & building access
  • Complete risk assessment (off-campus or standard template)
  • Check accessibility needs for all participants
  • Plan weather contingency (for outdoor shoots)
  • Assess noise risks and mitigation options
  • Book parking/loading access if required
  • Check equipment (cameras, audio, lighting)
  • Bring spare batteries, cards & chargers
  • Prepare props and materials
  • Confirm equipment responsibility (collection/return)
  • Test all kit in advance
  • Create a clear written brief (objectives, audience, shot list, timeline)
  • Share participant guidance (what to wear, what to expect)
  • Prepare scripts/interview questions
  • Confirm content usage and expectations
  • Align with brand guidelines (visual style, clothing, backgrounds)
  • Plan formats needed (social, vertical, BTS, etc.)
  • Decide on photo vs video resource needs
  • Secure signed consent forms (bring spares)
  • Ensure diverse and inclusive representation
  • Brief participants on additional content capture (if applicable)
  • Assign shoot lead + backup contact
  • Hold a pre-shoot briefing meeting
  • Share schedule, roles & key contacts
